For small clinics and busy front desks
The front desk isn’t a call center.
When a visit cancels, someone has to work the list while the phones ring and patients check in. WaitListings does that part by text, one patient at a time, and tells your office who took the slot.
Filled by Rafael. Your office is told who took it. June and Walter were never texted and stay on the list.

Call the office to book an appointment or to get back on the waitlist.
This is what Rafael sees. His buttons work.
How it fits your office
Next to your EHR, not inside it.
WaitListings doesn’t connect to your EMR or EHR. Nothing to integrate, nothing to migrate, and no change to how you schedule. Keep it open in a browser tab beside your scheduling system.
Staff mark the opening
Date, time and visit type. From there the list works itself, so nobody is on hold or leaving voicemails.
Urgent means urgent
Your staff flag the patients who need in soonest. They’re offered the slot first, ahead of VIPs and the general list.
Your office books it
You’re notified who accepted, by text, email or both. Staff then enter the visit in your own system.
How long each patient gets
The closer the visit, the shorter the clock.
When the visit is more than 8 hours away.
When it’s 2 to 8 hours away.
When it’s under 2 hours away.
Plainly
What it holds, and what it doesn’t.
Here’s exactly what goes into a waitlist entry. It doesn’t connect to medical records.
On a waitlist entry
- First and last name
- Mobile number
- The appointment type they’re waiting for
- Urgent and VIP flags
- Optional dates for when to start and stop alerts
- Whether they confirmed they want texts, and the record of messages sent
Not on one
- No field for a diagnosis, chart or clinical notes
- No field for insurance details
- No link to your EMR or EHR
- Nothing about the patient in the text itself: it carries your business name and a link
Staff logins
Team members get their own login, and two-factor sign-in is available on accounts.
HTTPS links
The app and the offer links your patients open run over HTTPS.
Name visits plainly
The appointment type appears on the offer page. “New patient visit” works better than anything that hints at a condition.
Quick answers
What offices ask.
Will it work with my EMR or EHR?
It works alongside any of them because it doesn’t connect to them. It only tracks who’s waiting. Keep it open in a browser window next to your scheduling system.
How is the order decided?
Patients waiting for that visit type are sorted by urgent, then VIP, then who joined first. Messages go out one at a time, and once a patient accepts, the texting stops.
Should we still charge for late cancellations?
That’s your call. How often an opening gets filled depends on the size of your list and how much time patients have to respond, so we can’t promise every slot. Some practices keep a fee as a safeguard.
What if we outgrow our plan?
Let us know and we’ll help you move up. Plans go up to 50 appointments a month.
Let the list work while your staff don’t have to.
30 days free. No card. Plans from $39.99 a month after that.
